Electronic Medical Records system selection
Frazer Walker helped Careflight to develop their business requirements for a new electronic medical records (EMR) system and managed the request for proposal (RFP) process to select the new system.
The Challenge
Careflight provides advanced aeromedical services and training across Australia. Its doctors and nurses travel by air and road to reach and treat patients wherever they are. They needed assistance in selecting and implementing a modern electronic medical records (EMR) system
Our Work
Frazer Walker assisted the client to determine the “must have” business requirements (functional and non-functional) for a new EMR system and identify the intended benefits. Requirements gathering occurred with client teams in Darwin and Sydney to understand the interfaces required.
FW managed the RFP process end to end, which included:
- Liaising with potential system vendors to identify a long list of selected suppliers
- Arranging initial NDAs with vendors
- Developing criteria for the client to cull the longer list of suppliers into a selected short list to take to RFP
- Confirming the short list of suppliers willing to participate in the RFP (4-5 vendors maximum)
- Developing all the collateral and information to take to market for the RFP from short-listed vendors
- Running the RFP process, including answering vendor questions during the process and organising initial discussions with the selected RFP vendors
- Organising and participating in a demonstration of shortlisted systems with the client’s project team
- Developing an assessment methodology for the project team to rank the RFP respondents
- Organising proof of concept as part of the selection process
- Organising and running due diligence reference checks of two vendors from the shortlist process.
The Outcome
Frazer Walker conducted an international search for appropriate software to fulfill the client’s needs. This determined that most EMR software was designed for hospitals not emergency services.
The software selection process determined that the client needed a patient care reporting (PCR) system rather than an EMR, one of which which was selected as the ultimate solution.
